Charge Letter

Dear Colleagues,

Thank you for agreeing to serve on the newly created Teaching Facilities Committee (TFC). This committee emerged from the recommendations put forth by the Master Plan for Instructional Space Task Force. The TFC oversees instructional space and develops recommendations for stewarding one of the most valued assets on our campus. You will note from the list of committee members that the TFC is comprised of members from the faculty, administrator, and facilities communities. You are asked to serve two years, with changes in membership being reviewed at the end of each year. The TFC was created to provide guidance, accountability, and leadership in the stewardship of our instructional space. As this body is new for our campus, I list the specific responsibilities for the TFC below:

  1. Evaluate changes in composition, condition, and distribution of the General Assignment inventory and discern their impact on current instructional needs and institutional goals.
  2. Establish “Classroom Design Standards” to reflect current best practices, updating as necessary.
  3. Regularly review performance and usage metrics to track progress toward goals.
  4. Review trends in classroom-related “best practices” at peer institutions and nationally.
  5. Review General Assignment maintenance and technology needs and provide input on how to steward the resources available. 
  6. Review scheduling processes and advise on issues of scheduling equity, standard teaching schedules, scheduling best practices, and classroom utilization.
  7. Communicate an “Annual State of Instructional Space” report to the Provost that highlights progress that has been made during the year towards goals of creating new or renovated facilities, meeting performance/usage metrics, and other indicators of progress the committee finds meaningful.
  8. Oversee the implementation of the Master Plan for Instructional Space to ensure that changes to classroom spaces and the inventory as a whole are in accordance with the plan’s Guiding Principles, as well as refinements to the Plan every five years.
  9. Serve as a consulting body for college level requests and concerns regarding instructional space.
  10. Prepare recommendations that promote effective and responsible stewardship of instructional space.

Along with the responsibilities listed above, there may be additional tasks for the Teaching Facilities Committee to conduct. As a new body, the inaugural TFC will need to develop aspects of policy and protocol to operate effectively, and these policies and protocols may evolve over time based on the committee’s experience. Please know that your presence on the TFC represents my confidence in your judgment, your commitment to stewarding the campus’s instructional space in a manner consistent with the Master Plan for Instructional Space, and your ability to take a perspective that considers the overall best interests of the institution.
