Charge Letter
Dear Colleagues,
Thank you for agreeing to serve on the Illinois Space Advisory Committee (ISAC) and for your efforts to continue to provide advice and guidance about space utilization on the Urbana campus for the academic year 2025-26.
Given the size of this committee and the wealth of expertise within it, several members will be asked to lead sub-committees to help accomplish our key responsibilities this year. The primary duties of this advisory committee include:
- Develop recommendations for governing the assignment of space to promote the most efficient use of one of the University’s most valuable and limited resources, e.g., the assignment of research labs, multiple lab spaces, data centers, corridors, and/or options for shared use especially with regards to energy consumption/conservation for inclusion in the ISAC Space Management Guidelines.
- Develop a new Smart Growth Space policy to replace the current Net Zero Space Growth policy including recommended updates to the Campus Administration Manual, capital project initiation process, and Chancellor’s Capital Review Committee approval processes for new construction and additions. Develop strategies to successfully mitigate the demand for campus space growth while reducing energy usage and deferred maintenance burden.
- Review campus space utilization and develop recommendations to improve space use. Consider ways to incentivize the temporary or permanent release of underutilized space. Explore the possibility of creating a campus network for identifying available space.
- Support a Research Space Master Plan task force, charged separately by the Provost, to review existing laboratory space resources and provide a road map for future development using content experts, peer institution examples, and existing condition and use data.
- Develop Provost web site updates to provide campus resources for space information, space requests, space management guidelines, active learning classroom information, and more that is coordinated with Facilities & Services and CITL.
Again, thank you for agreeing to serve on this campus advisory committee. Dean Cheryl Hanley-Maxwell has kindly agreed to chair the advisory committee, and Lesa Wilcoxon will schedule the meetings. The first meeting will be used to further discuss this charge, answer any questions, and to establish a timeline for accomplishing the objectives of the advisory committee.
Sincerely,
John Coleman
Provost
